Your advisor can submit a request to have the information on this webpage corrected.

Certify a Club

All existing student clubs and organizations must apply and be approved every academic year; this is known as the Club Certification Process. Applications for new clubs also must be approved through the Club Certification Process. The process for applying to be an approved club at Miramar College may take place in the Fall or Spring.

Club Certification Packet

Creating New Clubs

If you want to start a new club that is materially different from one of those listed in the Join a Club section, you may apply to create the new club through the Club Certification Process. If you have an idea for a club and a similar club exists, you are encouraged to contact the preexisting organization first! For example, you want to start a club for poets; Muse Club—which is a creative club that helps students come together to showcase and express their talents through singing, song-writing, poetry, playing instruments, and more—would be considered a materially similar club. You are encouraged to join or reactivate that preexisting organization. Existing club accounts and their respective funds cannot be transferred to a new club!

All clubs must be recertified each academic year per District and College policy. Inactive clubs can be reactivated using the Certify an Existing Club certification process. Follow the steps below to recertify or reactivate an existing club.

Process for certifying an existing club:

  1. Submit list of newly elected Club Officers
  2. Submit new Membership list
  3. Submit Policy/Procedure Acknowledgement
  4. Submit Statement of Non-Discrimination (if the Constitution and By-Laws have not changed since the last certification, then this document does not need to be re-submitted)
  5. Attend Club Orientation (refer to the Mandated Training section of this webpage)
    • Club Orientation sessions are pre-scheduled and require registration. Contact the Student Affairs Office for dates and times.
    • All club officers are required to attend.
    • All new club advisors are required to attend.
    • Club members and continuing advisors are welcomed to attend.

All new clubs must be certified before students can meet or operate as a student organization per District and College policy. Follow the steps below to certify a new club.

Process for certifying a new club:

  1. Complete the Club Certification Packet and submit the completed packet to the Student Affairs Office by any stated deadlines. The packet includes the following:
    • Club Officer List
    • Membership List
    • Advisor Verification
    • Constitution & By-Laws
    • Policy/Procedure Acknowledgement
    • SDCCD Policy 3200
    • Campus Policies and Procedures for Clubs
    • Statement of Non-Discrimination

Information for Advisors

Any full-time faculty can serve as a club advisor. Part-time faculty may be considered for co-advisor roles with the understanding that there are no stipends available.

The San Diego Community College District requires all student clubs and organizations to have an advisor. As per SDCCD Manual 3200, the Club Advisor’s role is explained below. Refer to the Advisor Verification section of the Club Certification Packet for a detailed list of advisor responsibilities.

All clubs and organizations with exception of the Associated Students must operate with an advisor identified by the student group and approved by the College President or their designee. The advisor for the Associated Student Organization is designated by the College President. When a group of students seeks to form or continue a student club or organization, they must consult Manual 3200, and follow the procedures as specified (refer to the Certify a Club section of this webpage).

It is the responsibility of the student group, in consultation with the administrator responsible for Student Affairs, to identify and recommend a club  organization advisor in accordance with college campus guidelines, who will accept the responsibility for assisting the club or organization with its objectives, events, meetings, and activities.

Each semester, the administrator responsible for Student Affairs will submit to the Vice President of Student Services a list of club or organization advisors for the semester. The Vice President of Student Services will recommend the listed club or organization advisors to the President for final approval. A mandatory orientation session for advisors will be provided (refer to the Mandated Training section of this webpage)..

Please ensure to provide meeting minutes that verify the results of club elections and the slate of new officers to the Student Affairs Office. Following review, you will be formally notified once your club has been certified for the current academic year.

Upon receiving formal approval via the Club Certification Memo, your club may officially operate. Note, official certification is mandatory to reserve space on campus and operate as a club.

Should you have any questions or require further assistance throughout the Club Certification Process, please, do not hesitate to contact the Student Affairs Office at (619) 388-7313. Your dedication to student leadership and college life development is greatly appreciated, and we look forward to supporting your club's endeavors in the coming academic year.

Thank you for your collaboration in creating a vibrant and engaging campus community!
